Setup wizard
index.html) and its backend (the api/ folder next to it) are already part of the same package, uploaded together. The only thing left is pointing them at a MySQL database, which every step below walks through.1 Create a MySQL database in cPanel
In cPanel, open MySQL Databases. Create a new database (e.g. 9com — cPanel will prefix it with your account username automatically), create a new database user with a strong password, then use Add User to Database and grant ALL PRIVILEGES. Note the three full values cPanel shows you (they'll look like yourusername_9com, yourusername_9comuser, and the password you set) — you need them in step 3.
2 Import the database structure
Still in cPanel, open phpMyAdmin, select your new database in the left sidebar, click the Import tab, choose schema.mysql.sql from this folder, and click Go. This creates every table this app needs — safe to run more than once.
3 Edit api/config.php
Open api/config.php (cPanel's File Manager has a built-in code editor — right-click the file → Edit) and replace the three placeholder lines near the top with the database name, username and password from step 1. Save the file.
4 Verify the connection
Once step 3 is saved and this page has been re-uploaded (or if you're already viewing the live, uploaded copy), check that it can reach your database:

Once step 4 says connected, just open this page's live URL (your domain, or wherever you uploaded the 9com-deploy folder) and click Sign in / add user → Add a user to create the first account — sign it up as Superadmin to manage projects and members. No file needs editing per-visitor; everyone who opens the URL shares the same database automatically.

Update your display name or password. Team (org) is managed by Superadmin.

🔑 Signing in
Sign in with the email and password your team gave you, using the same login screen every time — there's no separate app account. Forgot your password? Ask your Superadmin to reset it from Manage users; the portal doesn't email password resets on its own.
🏠 Home · Projects
This is the first screen after signing in — every project you're assigned to, whether or not you've opened it before. Click a project card to open it. You'll only ever see projects you're a member of; anything else stays hidden.
📋 Submission Log
The running record of everything submitted on a project — documents, revisions, approvals and status updates, most recent first. Open any entry to see its history and comments, or add a new submission if your role allows it.
📁 Documents & ⬇ Downloads
Documents is where files live for the project — upload, preview and organise. Downloads is a flat, quick-access list for grabbing files without digging through folders. Both show only what's been shared on projects you belong to.
✓ Tasks
Action items for the project, with an owner, a status and (usually) a due date. If a task is assigned to you, it shows up here — mark it done, comment on it, or attach a file as proof of completion, depending on what your role allows.
💰 Payments
Invoices and payment milestones tied to the project, with their status (pending, paid, overdue). This tab is read-only for most roles — it reflects what finance/admin has recorded, not something you edit yourself.
🔔 Notifications
The bell icon at the top tells you about anything relevant to you — a new task, a status change, a chat message, an incoming call — across every project you're in, even ones you personally haven't opened yet. Click a notification to jump straight to what it's about. If you've installed the desktop app, you'll also get a native Windows notification for chat messages and calls while the app is running in the background, so you don't have to keep the window open.
💬 Chat & calls
Open Chat & calls from the sidebar for two kinds of conversation: a private 1:1 message with any teammate you share a project with, or the shared group chat for a whole project (everyone on that project sees it). Type a message and press Enter to send, or use the 📎 button to attach a file (up to 100 MB).
Hover over your own message to edit (✎) or delete (🗑) it — the other person will see "(edited)" on an edited message, or "This message was deleted" in its place. Use 🗑 Clear chat at the top of a conversation to wipe its entire history for everyone in it; this can't be undone, so it's meant for once-off cleanup, not routine deleting.
To call someone, open their chat and use the call button — it's a direct, real-time audio/video call between the two of you (no separate meeting app or link required). You'll see an incoming-call banner even if you're not currently looking at Chat; accept to join, or decline to send it to voicemail-style silence. Mute your mic or turn your camera on/off from the in-call controls.
🟢 Staying "online" for your team
The presence dot next to your name shows teammates whether you're online — it stays on for as long as this portal is open, in a browser tab or in the installed app window (see below). Closing it (or your computer sleeping/shutting down) is what takes you offline; there's no separate step to "go online" again, just open it back up.
📲 Install as an app
Most browsers (Chrome, Edge, and Android/Chrome on mobile) can install this Portal as its own app — a proper window with no address bar, a taskbar/Start-menu/home-screen icon, no separate installer to run and nothing for antivirus software to flag. Use ⬇ Install app in the sidebar when it appears, or your browser's own install icon in the address bar. On iPhone/iPad (Safari doesn't offer that prompt), use Share → Add to Home Screen instead — same result.
🤖 AI Assistant
Where enabled by your Superadmin, a project shows an 🤖 AI Assistant button — ask it plain questions about that project's latest status, submissions or feedback and it answers from the project's own data. It's optional and only visible when turned on for your organization.
⚙ Account settings & theme
Change your display name or password any time from Account settings in the sidebar. Use Theme to switch between light, dark, or matching your device automatically — this is a per-device preference and doesn't affect what anyone else sees.

Automatic backups
Schedule portal snapshots on the server. Optionally push copies to Dropbox, Google Drive or OneDrive using an access token from that provider.
Role permissions
Tick what Project Admin and Member can do. Superadmin always has full access.
Manage users
Edit name, email, team (actor), Superadmin role, and project assignments. 🗑 deletes the account site-wide.
Progress report
Choose sections, preview / download the PDF, then email. Each project has its own email recipients and sender. Logos appear automatically when uploaded on the project.
